Refund, Transfer & Withdrawal Policy

Eligible transfers can be completed directly by participants via their Race Roster dashboard in accordance with the policy below. Any refund, transfer or withdrawal requests that cannot be completed online must be submitted in writing and require confirmation of a completed online registration.

Timeframes are calculated from the scheduled event date.

Refund Policy

Requests for refunds can be made under the following conditions:

  • Up to 8 weeks prior to the event – 75% refund of the entry fee
  • Between 4-8 weeks prior to the event – 50% refund of the entry fee
  • Between 1-4 weeks prior to the event – 25% refund of the entry fee
  • Within 7 days of the event – No refund available

No refunds will be issued within 7 days of the event under any circumstances.

Elite Energy reserves the right to amend event formats, schedules, start times, course maps, locations and operational requirements where necessary.

Please note:

  • Merchandise purchases, processing fees and add-ons are non-refundable

Refund, Transfer and Withdrawal Policy 

Transfer Your Entry To A Friend

Participants may transfer their entry to another participant up to 7 days prior to the event date. All transfers are subject to event capacity and availability and are valid for up to 6 months.

Please note:

  • A transfer fee of $15 will apply
  • Transfers can be completed via the participant’s Race Roster dashboard by selecting “Transfer Registration” from their registration confirmation email
  • The new participant must complete all required registration details and waivers, pay the registration fee and the $15 transfer fee before the 7-day cutoff period
  • Once the new participant has completed the registration and payment process, the original participant will receive a refund of their original entry fee.
  • Transferred entries are not eligible for further refunds or transfers

The transfer is not considered complete until the new participant receives their registration confirmation email.

Refund, Transfer and Withdrawal Policy 

Transfer Your Entry To A Different Distance

Participants may transfer to another race distance within the same festival up until race day, subject to availability and operational requirements. All transfers are subject to event capacity and availability.

Please note:

  • Transfers to a higher-priced race distance require payment of the price difference
  • Transfers to a lower-priced race distance will not receive a refund or credit
  • Transfers into sold-out race distance/s are not permitted
  • Transfers can be completed via the participant’s Race Roster dashboard by selecting “Transfer Event” from their registration confirmation email

Additional Transfer Conditions:

  • Transferred entries are non-refundable once the original event has passed
  • Race Distance Transfers may only be transferred once more
  • Start waves, bib allocations and merchandise selections are not guaranteed to remain the same after a transfer
  • Elite Energy reserves the right to refuse transfer requests where operational, safety or capacity limits apply

Athlete Withdrawals

Participants wishing to withdraw from an event without requesting a refund or transfer are encouraged to notify Elite Energy Events via office@eliteenergy.com.au as soon as possible so that participant records can be updated accordingly.

Withdrawn entries cannot be deferred, refunded or credited outside of the refund and transfer conditions listed above.

Change of Distance / Category

  • Distance changes are permitted, subject to availability and cut-off dates
  • Requests must be submitted to Athlete Services: office@eliteenergy.com.au
  • Athletes may be able to self-manage changes via Race Roster (TBC)

Minimum Ages

  • Classic/ Aquabike: 15+ individuals or 14+ teams
  • Sprint: 14+ individuals or teams
  • Super Sprint: 12+ individuals or 11+ teams
  • Nepean: 15+ individuals or 14+ teams

Entry Close Dates

• Entries remain open until race day unless sold out
• If sold out, a waitlist will become available.

There are no cut off times for this event

  • Number of aid stations; 3 aid stations, 6 passes total
  • Hydration provided: water, electrolytes and cola
  • Toilets / portaloo locations: Inside Sydney International Regatta Centre and on site near baggage
  • Bins provided after aid stations – please dispose of rubbish appropriately
  • Participants are responsible for their own hydration, sun protection and safety
  • The event will run rain or shine
  • Any course or event changes will be communicated to athletes
  • Elite Energy events are physically demanding; participants must ensure they are medically fit to compete
  • Follow all instructions from event staff, volunteers and medical teams
  • If withdrawing from the race, athletes must notify a race official
  • Wheelchairs: Permitted
  • Prams: Permitted
  • Dogs: Not permitted

 There are no pacers provided for this event

  • All participant, spectator, volunteer and official parking will be available within Sydney International Regatta Centre
  • Road closures and changed traffic conditions: MyMaps interactive map.

McCarthy’s lane CLOSED – Sydney International Regatta Centre to Castlereagh Road 6:00am to 1:30pm
Castlereagh Road CLOSED – Andrews Road to Springwood Road 6:00am to 1:30pm

Event Hub & Bag Drop

  • A bag drop service is available at the Event Hub
  • Bag tags are attached to race bibs
  • Do not leave valuables in bags

Transition 

  • No bags are permitted in transition.
  • Transition walk through/racking times will be posted on the schedule.
  • Bike pick up times will be posted on the schedule, however this will be at the discretion of the transition manager on the day to determine when is a safe and suitable time for you to collect your bike. Entry and Exit to the transition area for bike collection is via the designated entry and exit points ONLY. Please be patient as there may still be races in progress when you wish to collect your bike.
  • Helmets must be worn when entering transition.  See video here

AusTriathlon Technical Officials (TOs) will be checking helmets prior to racing. At transition entry, please ensure your helmet is on correctly fitted and secured as pictured. You will NOT be let into transition if your helmet is on incorrectly.

✔️ Correct fit:

  • Side straps sit just under your ears
  • Chin strap is secure and tightened

❌ Incorrect fit:

  • Side straps are too loose or need adjustment
  • Chin strap is loose

Collection Details

  • Early collection: 11am-1pm, Sat 21st November
  • Race day collection: As per the schedule 

Please bring your QR code or photo ID to collect your race pack.

If your bib goes missing, please visit the Race Pack Collection tent before your race. Pro tip: allow plenty of time. 

Waves / Start Groups

  • No formal waves – athletes self-seed at the start line

  • Finisher medal included for Classic, Aquabike, Nepean, Sprint & Super Sprint competitors (No finisher medal for Try-A-Tri)

Triathlon-Specific Merchandise

Swim caps and race belts are also available for purchase at the Registration Tent when you collect your race pack, just in case you have left yours at home! Swim caps are mandatory and race belts are an easy and quick way to display your race bib while racing the bike and run legs.

Merchandise Collection

• Merchandise collected at Bib Collection / Registration Tent
• Merchandise will not be posted prior to the event

Official Results & Timing

Results will be available after the event by clicking on the results tab at the top of the event page, or on the Multisport Australia website.

If you have any questions or notice any issues with your results, please reach out directly to Multisport Australia for assistance.

Male, Female & Mixed teams, Clydesdale & Athenas will be recognised on the podium and then we have ‘Race Ya Mate’ which has no podium prizes.

Photos

FinisherPix are our official photography partner.

If you pre-purchased a race day photo package with your entry, your personal link will be sent to you after the race. If you haven’t pre-purchased your race day photos, they can be accessed through our official photography partner here: FinisherPix.

  • We use reusable BibSNAPs at our events to reduce landfill waste. You can find out more here. BibSNAPs can be purchased with your entry, or through the event store.
  • We make an effort to minimise the impacts of our event on the local community. You can find out more about our road closures here
  • We are aiming to reduce the number of single-use cups at our events. Bringing your own cup, flask or bottle is a great way to help with this
  • Don’t litter! We want to leave this beautiful place in the same pristine condition we found it, so please use the bins on course or carry your rubbish with you (that means gel packets too!)
  • MiTime Medal Personalisation is available for purchase during registration, or through the Event Store.
